Overview

Ledgerline helps independent professionals send invoices, get paid and stay on top of taxes. After six years of adding features one by one, new users were struggling to send their very first invoice. I led a four-month redesign of the core invoicing flow, from research through to the shipped product.

Results

Case study

The challenge

Almost half of new sign-ups never sent an invoice. Interviews with 18 freelancers pointed to the same culprits: a form with 27 fields, confusing tax settings and no way to see what the client would actually receive.

The approach

We rebuilt the flow around a live preview, so freelancers edit the invoice itself rather than a form about the invoice. Smart defaults fill in client details, payment terms and VAT rules, and everything optional steps out of the way until it is needed.

  • Mapped the existing flow and every edge case together with support and finance
  • Tested three concepts as paper prototypes, then the strongest two in code
  • Released to 10 percent of new accounts first and measured before rolling out

The outcome

The time it takes to send a first invoice dropped from eleven minutes to under four, and invoicing questions to support fell by a third. The patterns we created became the foundation of Ledgerline's design system.
